PDLT Seeking an Administration and Outreach Coordinator

Pee Dee Land Trust (PDLT) is seeking a highly motivated individual to join our team as the Administration and Outreach Coordinator

Employer:  Pee Dee Land Trust (PDLT). The mission of the Pee Dee Land Trust is to protect, and to promote an appreciation of the natural, agricultural, and historical resources of the Pee Dee Watershed in South Carolina.  The organization has traditionally used educational activities and voluntary conservation easements as its primary tools to pursue its mission. The land trust has more than 68 easement projects and has protected over 25,000 acres.  In addition, PDLT owns and manages two properties totaling 267 acres.

Job Summary:  The Administration and Outreach Coordinator will be responsible for maintaining the donor databases as well as assisting the Director of Education and Outreach with all aspects of PDLT’s education and outreach program. The position will provide administrative support all PDLT staff on an as needed basis with specific project, event logistics and outreach.  This position will serve as the office point of contact on all matters related to running an efficient and successful office space for those employed by PDLT and the Board of Directors.  This position reports directly to the Executive Director and works closely with the Director of Outreach and Education, Outreach Committee and Resource Committee.

Essential Job Responsibilities:

  • Maintain data integrity and perform routine quality control checks of data entry in Little Green Light and Constant Contact; Data entry of received all income and constituent contact information.  Pulling reports and organization for distribution.
  • Maintain process documentation. Update procedures to ensure efficiency and system accuracy.
  • Implement the records documentation policy and other policies as needed
  • Generate accurate mailing lists and execute for all acknowledgments, sponsorship and ticket invoices, bimonthly renewals, bimonthly email reminders, campaign mailings and event/edutainment invitations lists.  Monitor and accurately input all responses.
  • Assist Director of Education and Outreach with the planning and implementation of all events; this includes two major fundraisers per year (Bountiful Brunch- November and Oyster Roast- February), 6-8 edutainment events per year (vary season to season), 2-3 landowner outreach gatherings per year
  • Serve as the Director of Outreach and Education’s understudy for all events; being completely aware of all aspects of each event so as to provide the best support to constituents, staff and board members.
  • Request Certificate of Insurance documentation and prepare packing lists, auction and check-in registrations, nametags, and other required documentation for each event in addition to other obligations.
  • Plan required materials and pack for each out of office event/tradeshow.  Unpack after event.
  • Provide support to all PDLT office and staff, including: retrieving mail daily, scheduling, files, vendors, office technology and equipment, office supplies tracking and ordering.
  • Coordinate four (4) Board Meetings per year; Coordinate logistics for meeting; Organize agenda and information packets to be sent prior to meeting; Prepare official minutes and distribute to staff for approval; Prepare post-meeting packets to be sent to Board Members
  • Answer phone calls as the main switchboard operator.
  • Assist all PDLT staff on an as needed basis for special projects and grants.
  • Office management duties include inventory and ordering office supplies, serve as the main contact for all outside vendors.

Time Commitment:  This is a full time position with some evening and weekend work required.

Location:  Pee Dee Watershed of South Carolina, office currently located in downtown Florence, SC.  Some travel required, mostly within 120 mile-radius.

-          3+ years in a fast paced office environment

-          Budget and accounting skills

Knowledge

-          Non-profit concepts and customer service

-          Customer service and communication training

Skills

-          Proficiency in internet research and all standard office productivity software (Word, Excel, Powerpoint, Outlook/email software)

-          Familiarity with data tracking software / hardware (e.g. Little Green Light) and willingness to expand capabilities

-          Excellent written and verbal communication skills

-          Proficiency with design software

-          Experience with building data query and reports

Ability to

-          Relate to and build trust with community members

-          Concentrate in busy office setting

-          Work alone or as a collaborator as circumstances dictate

-          Mobility to access outdoor event venues

-          Ability to physically lift 30+ lbs

-          Ability to physically walk 1 mile

-          Ability to accomplish tasks with little oversight

Other

-          Must have access to personal vehicle with driver’s license and insurance

 

Working Conditions:  The position includes time spent in an office setting at a computer or office equipment.  This position may also include light to moderate work in the field during all seasons including potential exposure to extreme temperatures, wind, and rain. 

Salary/Benefits/work environment:  This is a leanly-staffed, fast-paced office whose staff has enthusiasm for the mission and tasks of the Land Trust. Starting salary range $35k-$38k based on experience. Benefits include stipend for cell phone use; travel reimbursement at the federal rate; flexible schedule; generous paid holidays, accrued vacation and sick time; Health Reimbursement Account (up to $2,000 1st year; up to $4,000 year 2+).
